Receptionist/Administrative Assistant

Responsibilities:

As a receptionist you will be the first point of contact for the company. You will be professionally answering phone calls in a polite tone. You will provide administrative support across the organization and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Duties:

• Answer incoming calls, within three rings, positively, and warmly
• Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries
• Maintain a safe and clean reception area
• Maintain continuity among coworkers by documenting and communicating actions and correspondence with patients
• Receive and sort daily mail
• Make daily phone calls to patients in a timely manner
• Schedule appointments, maintain and update calendars
• Receive payments, record receipts for services
• Assist doctors and technicians as needed
• Keep track of patient consent for use of photos and post photos regularly
• Use Microsoft Excel to keep track of lead conversion
• Keep supplies stocked, reorder as needed
• Perform other clerical receptionist duties such as filing, photocopying, faxing etc.

Requirements:

• High school degree
• 1-2 years of related experience (Experience in a medical office will be preferred)
• Bilingual (English and Spanish) preferred
• Ability to build positive relationships with high level of interpersonal skills
• Excellent talent to interact with people in a positive and courteous manner
• Strong written and verbal communication skills
• Ability to prioritize tasks according to importance in a fast paced environment
• Multi-tasking capability without compromising on quality
• Basic knowledge of Microsoft Office, specifically MS Word and Excel
