Title: Administrative Assistant

Description:
:
Provide engineering school administrators and students with administrative and clerical support, including handling projects, data and word processing, Internet accessing, filing, answering phones, tracking inquiries, maintaining student database (accepted or in process), and providing information to students, faculty and others as needed.
:
Prepare marketing materials such as packets for off:site recruitment events. Update materials and engineering website as needed.
:
Prepare and utilize Microsoft office suite in support of department meetings, communications and presentations including Word, Excel, PowerPoint, as well as Gmail and Google Drive, for general purposes and to accomplish the following additional tasks: mail merges, spreadsheets, schedules, telephone contact list, and calendars.
:
Field phone calls and emails from students, placements, and others and assist in resolving concerns. Bring issues to associate directors of the various programs to resolve as needed.
:
Oversee departmental requisitions and expenditures and manage in relation to the Schools operating budget. Maintain business office supplies and assist with arranging copier and printer repairs. Maintain and distribute payroll sheets for bi:weekly payroll.
:
Prepare accreditation materials, including charts, syllabi, survey exit, and first:year alumni databases as needed.
:
Interface with administrators in admissions, registration, financial aid, course scheduling, etc., in the offerings of undergraduate and graduate engineering programs and the students admissions and registration processes.
:
Perform other duties as assigned.
Qualifications:
:
Bachelor degree required;
:
2:4 years of office experience; some knowledge of engineering professions programs preferred.
:
Information technology skills including databases, compute application skills, Internet accessing experience, and experience with institutional databases.
:
Excellent organizational and interpersonal skills.
:
Must be flexible and able and willing to handle multiple tasks.
:
Must be able to work in a fast paced environment.
